Our billing department assists you by answering all questions regarding your charges, submitting insurance forms to all insurance companies and by assisting those who are struggling with medical bills. You may reach one of us by calling the main office phone number (540) 434-3831, and asking for billing, Monday through Friday 8:00am to 4:30 pm.
Frequently Asked Questions
- My surgery was preauthorized with my insurance company, but they still denied payment. Why ?

An insurance company will sometimes give approval for surgery, but then state that it is not a guarantee of payment. Before having a surgical procedure, it would be wise for you to double check with the insurance company whether the procedure will be paid under your policy. If your insurance company denies payment, our office will assist you in providing medical information to the insurance company for reconsideration of your claim.
- I had a Pap smear at your office. Why am I getting bills from other places ?

Our office collects the Pap smear, but a lab needs to read the speciman. Harrisonburg Cytology does the initial screening but, if your pap smear needs futher evaluation it must be sent to a lab that does detailed work. You may recieve another charge from Molecular Lab or Pathology Associates.
- Can I pay with a credit card ?

YES, we currently accept Mastercard and VISA credit cards. You may also pay with a personal check or with cash.
- Does your office accept Medicaid patients ?

YES, we accept Medicaid patients from Rockingham and Augusta counties and the city of Harrisonburg. Due to the high volume of Medicaid patients, we are unable to accept Medicaid patients from other localities at this time.
- My insurance only pays for routine services and my visit was coded as a problem visit . My insurance then refused payment. Will you change the diagnosis to a routine code so my insurance will pay ?

Insurance companies are billed based on the diagnosis given to us by the provider. If you schedule your appointment as a routine exam when you are actually having problems, we can not bill the insurance company a routine office visit. Because of your problem, it turns into a non routine visit no matter what you scheduled your appointment for. To change the code after it has been submitted to the insurance company is fraudulent; only under very restrictive circumstances can a diagnosis be changed.
- I gave the wrong insurance information while I was in the office. What should I do ?

Call our billing office and we will update your office records over the phone. If you had a pap test, you need to contact Harrisonburg Cytology at 434-1512. If lab work was through LabCorp you may contact our office at (540) 434-3831, ask for the LabCorp Tech and she can update your information in the LabCorp system. For labwork done at Rockingham Memorial Hospital phone 433-4100 and ask for the billing department.
- Can I pay my bill by phone?

YES, we take VISA or Mastercard payments by phone and mail you a receipt.

- I do not have insurance. Do you offer a discount for cash pay patients ?

YES, for those without insurance, we offer a 20% discount for office visits if paid at the time of service. Cash paying patients will also receive a 20% discount for surgical and obstetrical services provided the terms of their contract are met.
- Can I set up a payment plan if I am unable to pay my bill in full ?

YES, payment plans are designed on an individual basis. For GYN Services we require monthly payments but, the amount of the payment will vary, based on the outstanding balance. For Obstetrical Services a payment plan is required. You may click on Forms and view those pretaining to our OB Services; Obstetrical Care-Cash Delivery, Obstetrical Care with Insurance, High Deductible; these and other forms will explain how charges are paid ; choose to view and download the form that addresses your needs.
